Introduction to Organization Admins

Everything an admin can do to secure organizational data, manage billing and users, and monitor usage

Enterprise admins on Perplexity have comprehensive control over their organization's security, collaboration, and access, allowing them to tailor their workspace to meet compliance and operational needs.

Below is an overview of what an organization admin can do.

Manage Organization and Billing

  • Organization Overview: Only Admins can edit the organization name, logo, and description. The description is used to improve the relevance of answers provided. This can be done from Organization settings.

  • Manage Billing: Admins can update the organization's subscription from monthly to yearly (or vice-versa), or cancel it altogether. They can also update the payment method, billing address, and view and download invoices. To update the billing email address, admins can reach out to enterprise@perplexity.ai.

  • Manage Product Announcements: Admins can configure Perplexity news and in-product and email announcements to be sent to everyone in an organization, or only to Admins (excluding regular Members). This allows admins to ensure that communications from Perplexity align with their strategy and information governance policies, and it can be configured from Organization settings.

Manage Permissions and User Access

Admins are the gatekeepers of organizational access. Through the Organization settings, they can:

  • Add or Remove Members: From the Members screen, admins can invite new users by email (billing applies for new seats) or generate shareable invite links for onboarding (these can be disabled when needed). To remove someone, admins can use the three-dot menu (⋮) beside a user’s email in the Members dashboard.

  • Assign Roles: Admins can assign Admin and Member roles. Role permissions are enforced uniformly across users. It’s not currently possible to customize permissions individually.

  • Enforce SSO: Organization admins can set up single sign-on (SSO) and make it mandatory for stronger authentication and domain restrictions. This blocks personal email sign-ups and leverages enterprise identity providers like Okta, Azure AD, and Google Workspace.

  • Just-in-time Provisioning: Admins can enable JIT (Just-in-time) provisioning to automatically capture into the organization anyone logging in via SSO with a specific domain (e.g., @companyname.com). This can be enabled from the Identity screen.

  • SCIM User Management: For organizations with 50 or more seats, admins can integrate SCIM-based management to automate user provisioning and deprovisioning.

Security, Compliance, and Data Management

  • Enable Search History: Enforce ‘Incognito Mode’ for all searches in the organization by disabling Search History.

  • Enforce Thread Retention Policies: In organizations with 50+ seats, admins can specify how long data should be stored. By default, Threads are retained until they are deleted.

  • Collect and Review Audit Logs: Admins in organizations with 50 seats or more can receive a webhook history of user queries, file uploads, or organization settings updates for compliance monitoring.

Configure File, Sharing, and Connector Permissions

From the Permissions screen, admins can configure granular file-level controls, including:

  • File and Repository Controls: Decide who can upload, download, and delete files, and set file visibility rules.

  • Content Sharing Permissions: Control whether Threads, Pages, and Spaces can be shared outside the organization, so only authorized users can access sensitive information.

  • User Access Management: Restrict user-initiated invites to ensure only admins onboard external users, reinforcing organizational security.

  • Integration Management: Enable or disable connections to third-party services such as Google Drive, OneDrive, SharePoint, Dropbox, and Box at an organizational level.

Monitor Organization Usage

Enterprise admins in organizations with 50 seats or more, or with at least one Enterprise Max seat, can leverage the Insights analytics dashboard to gain actionable visibility into their organization’s usage patterns on Perplexity.

In this dashboard, admins can monitor total users, monthly active users, and monthly queries, as well as access detailed charts on weekly query trends, feature usage breakdowns, and the growth of the user base over time.

Admins can also review individual user activity, track invites, filter and export data for deeper analysis.

Manage Organization File Repository

Admins have permissions to manage the organization’s file repository and can enable other members to do so too.

The organization File Repository serves as a centralized space where admins manage files that are accessible to all members of your organization, used in the Internal Knowledge Search, and leveraged across all the organization’s Threads and Spaces.
